Gator Event Group FAQ

Is there a payment schedule?
As of now, we do not offer a payment schedule. For UF sponsored events, payments are due in full one month after the conclusion of the event. Our accounting department will invoice your group using the contact information from the contract. External events require a 50% deposit to book and the remainder is due two weeks prior to the event.

What are the venue rates for UF affiliates?
For UF affiliates and non-profit organizations please call Nina Parente at (352) 375-4683 ext. 6061 or email NinaP@Gators.ufl.edu.

Can we have an early set up?
Early setup is based on availability of the venue. This is decided on a case by case basis. This does not change the pricing.

Do you provide any services or do I need to use my own vendor?
We provide the tables and chairs according to the client’s request. We also provide an onsite staff member from our department throughout the event. Please note we do not provide linens or decorations. Any tables and chairs beyond our inventory will need to be rented and the cost will fall on the client.

Does the Gator Event Group provide a wedding director/coordinator?
Gator Event Group will provide an onsite coordinator for the facility ONLY. This person is not a wedding coordinator and should not be expected to perform wedding coordinator duties. This person is here for facility matters such as maintenance, cleaning, and setup.

Can Ben Hill Griffin Stadium be used for both the ceremony and reception?
Ben Hill Griffin Stadium can be used for both the wedding ceremony and reception. Please note there are extra fees associated with this depending on the number of spaces used.

Are there any additional fees along with the rental fee?
There are no additional fees with the rental agreement unless explicitly noted.

We provide the following within the rental fee:  set-up/tear down of tables and chairs, use of tables/chairs, use of in-house a/v equipment. Any other items required for your event will require additional costs.

Is there a required caterer?
Clients are allowed to use an outside caterer. We do have a list of preferred caterers we have worked with before that we are more than happy to recommend.

Do I need an appointment in order to come view the site?
Yes, you do need to schedule an appointment to come tour the site.

Can we bring in our own alcohol?
We do allow clients to bring in their own alcohol as long as it is being served by a licensed bartender or caterer. Groups are not allowed to pour their own alcohol. Request to serve alcohol must be approved by the Operations Department.
